TL;DR
An AI optimization app computes the decisions Dynamics 365 records but never derives — pricing, stock, pick-path, quoting. Here's what the category is, how it differs from Copilot and your ERP partner, and who builds it.
There's a category of software emerging around Microsoft Dynamics 365 that doesn't have a tidy name yet, so let's give it one and define it clearly, because it's the thing a lot of operations teams are actually looking for when they say "we want AI in our ERP."
An AI optimization app computes the decisions Dynamics 365 records but was never built to derive. Your ERP captures every order, price, stock movement and quote. It cannot tell you the optimal one. That gap — between what the system records and what it can calculate — is what an optimization app fills, on your own data, inside your own environment, with a person approving every call.
What it actually is (and what it isn't)
An AI optimization app:
- Reads the system of record — your Dynamics 365 / Business Central data.
- Computes a decision the ERP doesn't: the margin-optimal price, the safety-stock level that matches real demand variability, the pick path that cuts travel, the quote built from your own catalogue.
- Writes the recommendation back, through the platform's supported surface, for a person to approve.
- Never touches the ERP core. It runs beside the system, not through its guts.
It is not a new ERP, not a rip-and-replace, and not a report. A dashboard tells you what happened; an optimization app tells you what to do next and lets you act on it in the system you already use.
How it differs from Dynamics 365 Copilot
This is the question every buyer asks, and the honest answer is: they're complementary, not competing.
Copilot is Microsoft's assistant layer — summarising, drafting, answering questions, surfacing information in the flow of work. It's genuinely useful and it's getting better fast.
An optimization app is a different job: it runs a model trained on your history to compute a specific operational decision — the number, not the narrative. Copilot can tell you what last quarter's stockouts were; an optimization app computes the safety-stock levels that prevent next quarter's. Where Copilot's generic capability stops — the custom, data-specific, decision-grade calculation — is exactly where a purpose-built app starts.
How it differs from your implementation partner
Your Dynamics partner implemented the ERP, runs it, and knows your estate. An optimization app vendor does not replace them. The app sits on top of the implementation, on the supported surface, and adds the decision layer the partner isn't set up to build. Done right, it's something a partner can bring to a client, not a threat to the relationship. Complement, never compete.
The decisions these apps compute
The high-value ones, all of which Dynamics records but can't derive:
- Pricing & discounting — margin-optimal prices from how your customers actually respond to price, not rule of thumb.
- Demand & inventory — safety stock and reorder points from real demand variability, not a go-live default.
- Warehouse pick-path & slotting — where product should live and how a pick should route, so the walking stops being the biggest cost.
- Quote-to-order — a messy request turned into a priced Business Central quote, with only the judgement lines flagged.
These are built as one family — the Dynamics 365 decision optimizers — because they share the same shape: the ERP holds the data, the app does the math, a person approves.
Who builds them
Very few teams can, because it needs two halves that rarely sit together: production AI engineering, and genuine fluency in the ERP itself — its data model, its supported integration surface, and what an operations team actually does inside it. Plenty of firms have one half. The combination — an AI company that is also fluent in Dynamics 365 and Business Central — is the whole job, and it's what makes an optimization app ship instead of demo.
If your business runs on Dynamics 365 and the real decisions still happen in a spreadsheet, tell us the decision that's costing you — you'll get a straight read on whether an optimization app helps, what it would take, and where it wouldn't be worth doing.
